About The Efficiency Partner

  • The Efficiency Partner is a fractional operations and project management consultancy run by Victoria Lincoln. I work with small businesses, start-ups and purpose-led organisations across the UK and Ireland, providing hands-on operational support without the overhead of a full-time hire.

  • I'm an operations and project management professional with 20+ years of experience across SaaS, professional services and purpose-led organisations. I hold a PMP® Project Management Professional, PRINCE2® Agile and Practitioner, Certified ScrumMaster® and HBDI® Certified Practitioner qualification, and I've spent my career making organisations run better from the inside out. I'm based in Devon and have worked fully remotely for over eleven years. You can find out more on my About page.

  • I work with small businesses, start-ups and purpose-led organisations including CICs, charities and social enterprises. My sweet spot is organisations that have grown to the point where they need proper operational support but aren't yet at the size where a full-time operations hire makes financial sense.   • Yes. I work remotely across the UK and Ireland. I already work with clients in both countries and am comfortable navigating the differences in context and regulation where relevant.

  • Yes. I hold Professional Indemnity Insurance and Cyber and Data Insurance, and I am registered with the ICO for data protection purposes.

How it works

  • We start with a conversation. No sales pitch, no obligation, just a straightforward chat about where you are, what's not working, and what would actually help. From there I'll give you an honest view of what I think needs doing and how we might work together. Get in touch here to arrange a call.

  • Every engagement is different, but most fall into one of three shapes. A one-off project with a defined scope and end point. An ongoing retainer where I work alongside you for a set number of hours each month. Or something more flexible and ad hoc as needs arise. We'll work out together which model makes most sense for you.

  • That depends entirely on what you need and what your budget allows. Some clients need a few hours a month for light-touch ongoing support. Others need a more intensive period of work to get systems and processes properly sorted. We'll agree the hours upfront so there are no surprises.

  • Yes. As a fractional partner, working with multiple clients is part of the model. I manage my time carefully to make sure every client gets my full attention when I'm working with them. I'm transparent about my availability from the start and won't take on more than I can deliver well.

  • Yes, always. I work with a clear service agreement that sets out the scope of work, hours, rates, payment terms and how either party can end the arrangement. This protects both of us and means we both know exactly what we've signed up for.

  • That's completely normal and to be expected. We'll review scope regularly and adjust as needed. If you need more support during a busy period, or less during a quieter one, we can talk about it and find an arrangement that works.

  • Everything you share with me is treated as confidential. My service agreement includes confidentiality provisions as standard, and I take data protection seriously. I am ICO registered and hold Cyber and Data Insurance for exactly this reason.

What I do

  • Fractional operations support means you get a senior operations professional working alongside your business for a defined number of hours per week or month, rather than as a full-time employee. You get the expertise and hands-on delivery of someone who has done this work across multiple organisations, at a fraction of the cost of a full-time hire. It's a model that works particularly well for small businesses and growing organisations that need senior support without a senior salary.

  • In practice, quite a lot, and it varies depending on what your business needs. Common areas include project and launch management, CRM setup and automation, workflow and systems optimisation, governance and compliance documentation, operations management, and marketing and visibility support. Most engagements involve a combination of things rather than just one service. You can see a full breakdown on the Services page.

  • A VA typically supports with task-based, administrative work. A fractional operations partner works at a more strategic level, building systems, designing processes, managing projects and providing senior operational thinking. In practice I do get into the detail and get things done, but the starting point is always understanding how your business works and what it actually needs, rather than being handed a task list.

  • Part-time usually refers to an employed role with set hours, a contract of employment and all the associated obligations for both parties. Fractional is a self-employed arrangement where I work with your business for an agreed number of hours, on a project or retainer basis, without being an employee. It gives you flexibility to scale up or down as your needs change, and means you're not taking on the responsibilities that come with employment.

  • I've worked across SaaS, travel and tourism, professional services, learning and development, social value and placemaking consultancy, virtual assistant businesses, and purpose-led organisations including CICs. I'm comfortable moving between sectors and picking things up quickly, which has been a feature of my career from the start.

Practicalities

  • My rates vary depending on the scope and nature of the engagement. I work on both project and retainer bases and am always happy to discuss what makes sense for your budget and needs. Get in touch and we can have an honest conversation about what's involved and what it would cost. There are no hidden fees and no surprises.

  • I hold a PMP® Project Management Professional, PRINCE2® Agile and Practitioner, Certified ScrumMaster®, and HBDI® Certified Practitioner. I also have a BA (Hons) in Tourism Management and over 20 years of hands-on experience across a wide range of organisations and sectors.

  • I've been working in operations, project management and client success for over 20 years. I've been running The Efficiency Partner alongside employed roles since July 2025, and as of July 2026 I'm focused on building it as my primary work.

  • Yes, fully. I've worked remotely for over eleven years and it's simply how I work, not a compromise or a temporary arrangement. I'm comfortable with all the tools and practices that make remote collaboration work well.

  • Where clients need to share system access or login credentials with me, I use a password manager to store them securely rather than keeping them in emails or documents. I will never ask you to share passwords in an insecure way, and I'd always recommend using a shared password manager or a tool like Keeper, Bitwarden, LastPass or 1Password to pass credentials safely. At the end of an engagement I will remind you to update any passwords or access I've been given, as a matter of good practice.

Before you get in touch

  • Most of my clients haven't either. The first thing to expect is an honest conversation about what you actually need. I'm not going to try to sell you more than is useful. After that, a clear agreement about what we're doing and how. Then I get on with it. Most clients tell me they notice the difference quickly, and that it feels less like bringing in an outsider and more like having a capable person properly embedded in the team.

  • Absolutely. In fact that's often the best place to start. Sometimes the most useful thing I can do is help you work out what the actual problem is before we decide what to do about it. Come to the first conversation with whatever you do know: what's frustrating you, what's not working, what you wish was better, and we'll take it from there.

  • This is one of the most common concerns and a completely fair one. The honest answer is that getting up to speed quickly is something I've done throughout my career, having spent twenty years walking into organisations and picking things up fast. I ask good questions, I listen carefully, and I get into the detail early. Most clients are surprised by how quickly things start moving.

  • Absolutely. Some of my favourite work has been with very small organisations, the kind where one person is wearing all the hats and needs someone to come in and help them build some structure around what they're doing. You don't need to be a certain size to benefit from getting your operations sorted. You just need to have reached the point where the informal approach isn't working as well as it used to.
